Raksa Koma Organization (“we”) runs rko.vitsolutions.asia. This policy explains what personal information we collect on this website, why, who helps us process it, how long we keep it, and your choices. We collect as little as we need and never sell or rent personal information.
What we collect
- When you donate: your name for the certificate (in English and/or Khmer), your email address, and optionally your phone number; the amount, currency, date and payment method; and the payment reference from the bank (transaction ID, approval code). We never see or store your card number — card and KHQR payments are handled on ABA Bank’s secure PayWay pages, and PayPal payments on PayPal’s.
- When you contact us or apply to volunteer: your name, email address, phone number if you give it, and your message.
- When you subscribe to our newsletter: your email address, your language, and when you confirmed.
- Staff and volunteers who sign in: their account details; sign-in with Google shares the Google Workspace email address.
- Technical data: our web server keeps short-lived logs (IP address, pages requested) for security. We do not use advertising or tracking cookies, and no analytics service follows you across websites.
Cookies The website uses only the cookies it needs to work: sign-in cookies for staff, a cookie that keeps your donation during the secure checkout, and a short-lived cookie that protects the payment and contact forms from misuse. They are not used to track you.
Why we use it
- to process your donation, send your certificate of appreciation and answer questions about it;
- to keep accurate financial records and reconcile payments with our bank, as the law and our donors expect;
- to reply to your message, or to send the newsletter you asked for (every issue has an unsubscribe link);
- to keep the website and our donors safe from fraud and abuse.
Who helps us
- ABA Bank (PayWay) and PayPal process payments.
- Google (Google Workspace) delivers our email; Telegram is used to notify our team about new donations.
- Our web hosting provider stores the website and its database.
Each of them only receives what they need for that task. We share information with authorities only when the law requires it.
How long we keep it Donation records are kept for as long as accounting and legal obligations require (usually up to 7 years), then names and contact details are removed while anonymous totals remain. Messages are kept as long as needed to answer them. Newsletter subscriptions last until you unsubscribe.
Your choices and rights You can ask to see, correct or delete the personal information we hold about you, or to stop receiving emails, by writing to info@raksakoma.org. You can also ask us to keep your name private when you donate. We answer within 30 days. Where the laws of your country give you further rights (for example the EU General Data Protection Regulation), we respect them.
Children Donations and the newsletter are for adults. We never publish information that could identify where a child in our programmes lives or studies — see our Child Safeguarding Policy.
Security The website uses encrypted connections (HTTPS). Access to donor records is limited to staff who need it, passwords and secret keys are stored encrypted, and the site is backed up and checked for vulnerabilities regularly.
